Sales Channels & Orders

Connect sales channels, import orders, and manage fulfillment workflows.

Connect your online stores, sync products, and manage incoming orders from Shopify, WooCommerce, and other sales channels.

Overview

Stogly's Sales Channels module lets you:

  • Connect e-commerce platforms like Shopify and WooCommerce
  • Push your product catalog to connected channels
  • Receive and manage orders from all channels in one place
  • Track order status from placement through delivery
  • Keep inventory synchronized across channels and physical locations

Connecting a Sales Channel

Connecting Shopify

  1. Navigate to Sales Channels > Channels
  2. Click + Add Channel and select Shopify
  3. Enter your Shopify store URL (e.g., yourstore.myshopify.com)
  4. Click Connect — you will be redirected to Shopify to authorize the connection
  5. Grant the requested permissions and confirm
  6. Once redirected back, your Shopify store appears as an active channel

Connecting WooCommerce

  1. Navigate to Sales Channels > Channels
  2. Click + Add Channel and select WooCommerce
  3. Enter your WooCommerce site URL
  4. Provide your Consumer Key and Consumer Secret (generated in WooCommerce under Settings > REST API)
  5. Click Connect
  6. The system verifies the credentials and activates the channel

Channel Settings

After connecting, configure the channel:

SettingDescription
Sync DirectionPush only, pull only, or two-way sync
Auto-sync intervalHow often products and orders sync (e.g., every 15 minutes)
Price listWhich Stogly price list to use for this channel
WarehouseWhich warehouse fulfills orders from this channel
Order prefixOptional prefix for order numbers (e.g., SHOP-, WOO-)

Syncing Products to Channels

Push Products to a Channel

  1. Navigate to Sales Channels > Products
  2. Select the products you want to publish
  3. Click Publish to Channel and choose the target channel
  4. Map product fields if prompted (title, description, price, images)
  5. Click Sync

Products sync with their current prices, descriptions, images, and stock levels.

Managing Published Products

  • Synced products show a channel badge on the product list
  • Edit a product in Stogly and changes push to connected channels on the next sync cycle
  • To unpublish, select the product and click Remove from Channel

Receiving Orders from Channels

Orders placed on connected channels are automatically pulled into Stogly.

Viewing Incoming Orders

  1. Navigate to Sales Channels > Orders
  2. All orders from all channels appear in a unified list
  3. Filter by channel, status, date range, or customer

Creating an Order Manually

  1. Click Create Order
  2. Enter the customer and delivery details and choose the Warehouse the order ships from
  3. Under Location, choose the location the order belongs to, or leave Automatic (from the warehouse) — Stogly then uses the location linked to that warehouse
  4. Add the items and save

The location decides where the order is listed under Locations & POS → Delivery. Orders arriving from a channel get their location the same way, from the channel's warehouse; a warehouse shared by several locations leaves the order without a location.

Order Details

Each order shows:

  • Customer name and shipping address
  • Ordered items with quantities and prices
  • Channel of origin (Shopify, WooCommerce, etc.)
  • Payment status
  • Current fulfillment status

Fiscal Receipt and Invoice from an Order

Open the order (View) and use the Documents section:

ButtonWhat it does
Issue fiscal receiptOpens the fiscal receipt form with the order's items, buyer and payment method filled in. Review it and issue the receipt as usual
View receiptShown instead once the receipt exists — an order has one fiscal receipt
Create invoiceOpens the invoice form on Sales > Invoices with the order's items and customer filled in
View invoiceShown instead, with the invoice number, once an invoice was created from the order; opens Sales > Invoices with that number in the search box
  • A receipt can be issued in any order status. For cash on delivery, issue it when the order is shipped; the payment line starts as Wire transfer and can be changed.
  • The receipt does not deduct stock — the order already does.
  • An order discount is applied to the item prices on the receipt and as a discount percentage on the invoice, and the receipt form asks you to confirm the amount before issuing.
  • An amount paid by gift card is not a discount: the receipt and the invoice are issued for the goods in full, and the receipt is pre-filled with a Voucher payment for the gift card and the order's payment method for the rest.
  • If the item total differs from the order total (a delivery charge, an order from a sales channel whose prices already include the coupon), both forms say so and the discount is not applied automatically. The receipt form asks you to confirm the amount, and asks again if you change an item afterwards.
  • A cancelled order cannot be receipted. If the receipt is refunded in full, a corrected receipt can be issued from the order again.
  • Enter the buyer's PIB when creating the order to have it on the receipt and the invoice.

Order from an Invoice

When you have invoiced a customer and know the goods will be shipped, create the order from the invoice instead of entering it again:

  1. Go to Sales > Invoices and open the actions menu (⋮) of the invoice
  2. Click Create order and confirm

The order is created as Pending with the invoice's items, prices and buyer, and the stock is reserved in your warehouse. An invoice has one order; afterwards the menu shows Show orders.

Create order is unavailable — with the reason shown — for a draft (send the invoice first), a cancelled invoice, a pro-forma, an advance invoice or a credit note, and when an item was typed by hand rather than picked from the catalog. It is offered to retail organizations, on the desktop layout, and needs permission to create orders.

Order Status Workflow

Orders follow a standard lifecycle:

StatusDescription
PendingOrder received, awaiting processing
ProcessingOrder confirmed, items being picked and packed
ShippedOrder dispatched, tracking number assigned
DeliveredOrder received by the customer
CancelledOrder cancelled before shipment
ReturnedCustomer returned the order

Updating Order Status

  1. Open the order
  2. Click the Status dropdown
  3. Select the next status
  4. When moving to Shipped, you can enter a tracking number and carrier
  5. Status changes sync back to the originating channel automatically

Cancelled and Refunded Channel Orders

Stock for an order from a sales channel is deducted once, when the order first reaches Stogly. It is returned once, whichever of these happens first:

  • You cancel the order in Stogly — the deducted stock goes back to the location it was taken from.
  • The channel reports the order as cancelled, fully refunded or returned — Stogly returns the same stock by itself. Cancelling the order in Stogly afterwards does not return it a second time.

What to keep in mind:

  • Stogly returns what was actually deducted. If the location held 1 piece when an order for 3 arrived, 1 piece is returned.
  • A partial refund does not change stock. The channel does not tell Stogly which items came back, so add the returned items yourself under Inventory > Stock Adjustments.
  • After a partial refund Stogly no longer returns that order's stock by itself — not when the rest is refunded later, and not when the order is cancelled. Add whatever comes back with a stock adjustment, each time.
  • A refund returns the stock even when the customer keeps the goods. If you refund without getting the goods back, take them off again with a stock adjustment.
  • If a channel order was cancelled before Stogly ever received it, nothing is deducted for it later.
  • If an order shows as cancelled and its stock has not come back, the channel did not report the cancellation to Stogly — add the items back under Inventory > Stock Adjustments.

Order Fulfillment

Fulfilling an Order

  1. Open a Processing order
  2. Review the items and confirm stock availability
  3. Click Fulfill Order
  4. Select the warehouse or location fulfilling the order
  5. Inventory is automatically deducted from the selected location
  6. Enter the shipping carrier and tracking number
  7. Click Ship — the order moves to Shipped status

Partial Fulfillment

If not all items are available:

  1. Select only the items you can ship now
  2. Click Partial Fulfill
  3. The remaining items stay in Processing status
  4. Fulfill the rest when stock arrives

Tips & Best Practices

  • Use order prefixes — prefixes like SHOP- or WOO- make it easy to identify the source channel at a glance
  • Set a dedicated warehouse — assign specific warehouses to channels to avoid stock conflicts across locations
  • Sync frequently — shorter sync intervals reduce the chance of overselling
  • Monitor failed syncs — check Sales Channels > Sync Log regularly for any errors
  • Keep one source of truth — manage product details in Stogly and push outward to channels, rather than editing in each platform
