Importing Products & Ingredients

Bulk-import your product catalog, ingredients, and categories via CSV.

Learn how to bulk-import your product catalog, ingredients (raw materials), and product categories into Stogly using CSV files.

Overview

Stogly supports CSV import for:

  • Simple products — items sold directly to customers
  • Ingredients (raw materials) — items used in recipes for composite products
  • Composite products — items assembled from ingredients via recipes
  • Product categories — organizational groups and subgroups

Prerequisites — Import Order

Import data in this order to avoid missing references:

  1. Categories first — products reference categories by name
  2. Locations/Warehouses — must exist before importing products with stock quantities
  3. Suppliers — must exist before assigning preferred suppliers to products
  4. Ingredients before composite products — recipes reference ingredients by SKU
  5. Simple products — can reference categories, locations, and suppliers from above
  6. Composite products — import after ingredients, then set up recipes

Step-by-Step Import Guide

Importing Products

  1. Navigate to Catalog > Products in the sidebar
  2. Click the Import button in the toolbar
  3. Select your CSV file
  4. Review the Import Preview — the system shows which products will be created or updated
  5. Click Confirm Import to proceed
  6. Check the import summary for any errors or warnings

Importing Ingredients

  1. Navigate to Catalog > Ingredients in the sidebar
  2. Click the Import button
  3. Select your CSV file (all items should have Product Type: raw_material)
  4. Review and confirm the import

Exporting Ingredients

  1. Navigate to Catalog > Ingredients in the sidebar
  2. Optionally narrow the list with the search box or the category filter — only the ingredients that match are exported (all pages, not just the one on screen)
  3. Click Export and choose Export as Excel (.xlsx) or Export as CSV (.csv)

The file has the same columns as the ingredient import: Name, SKU, Cost Price, Unit, Stock, Description, Category, Supplier, Warehouse. You can edit it and import it straight back — ingredients are matched by SKU. Column headers follow the portal language, and the import understands both English and Serbian headers. Stock is the total on-hand quantity across all locations; Warehouse is left empty.

> Importing the file back: the Stock value is written to the location named in the Warehouse column. With that column empty it goes to your default warehouse — unless the ingredient is also stocked somewhere else, in which case its stock is left unchanged and the import tells you which items were skipped.

Importing Categories

  1. Navigate to Catalog > Products and click the Categories tab
  2. Click Import Categories
  3. Select your categories CSV file
  4. Categories with a Parent Category will be created as subcategories

Tips & Best Practices

  • Stock location: If you don't have a warehouse, use your location name as the warehouse value
  • Updating existing products: If a product with the same SKU already exists, the import will update it rather than create a duplicate
  • Empty cells keep what you have: When a row updates an existing product or ingredient, an empty cell leaves that value as it is — category, unit, supplier, product type, reorder quantity and stock are not reset. Defaults are filled in only for new items
  • Stock in several locations: To change the stock of an item held in more than one location, name the location in the Warehouse column. Without it the import leaves that item's stock unchanged
  • Cost price for ingredients: Always include cost prices for raw materials — these are used to calculate recipe costs for composite products
  • Reorder points: Set minimum stock levels to receive low-stock alerts in the notification bell
  • Supplier assignment: Including a supplier name links the product to that supplier for purchase order workflows

Troubleshooting

IssueSolution
Cost price shows as 0 after importEnsure the column header is exactly Cost Price (with space)
Stock not appearingVerify the warehouse/location name matches an existing location
"Stock not changed" warning after importThe listed items are stocked in more than one location and the row named none — fill in the Warehouse column and import again
Categories not createdCheck that category names don't contain special characters that might cause parsing issues
Duplicate productsThe system uses SKU as the unique identifier — ensure SKUs are unique
